Dugout Crew is a team app for softball and baseball: rosters, schedules, lineups, scoring, stats, photos and team messages, on our website and our iPhone and Android apps (together, the "Service"). The Service is run by Dugout Crew ("we", "us"). This policy explains what we collect, why, who we share it with, and the choices you have. It covers the website, the apps and the text messages we send.
The short version
- We collect what's needed to run your team, and nothing for advertising.
- We don't sell or rent personal information, don't show ads, and don't track you across other apps or websites.
- Team information is visible only to the members of that team.
- Photos have their location and camera details removed when they're uploaded.
- You can delete your account at any time in the app or on the website.
What we collect
Information you give us
- Account: your email address and password. Passwords are stored only as a secure hash, never in readable form.
- Team membership: the name shown to your team (for example "Sarah (Emma's mom)"), your mobile number if you or a manager adds it, your roles (manager, scorekeeper), and which players you're family of.
- Team information: team name and logo, seasons, the game schedule (dates, times, opponents and locations), attendance, lineups, scores and statistics.
- Player information: players' first and last names, jersey numbers, preferred positions, photos, attendance and game statistics. Players are often children. This information is entered by their team's managers or by their family, not by the players themselves (see Children).
- Photos and messages: game photos, the captions and player tags on them, and team messages.
- Invitations: when a manager invites someone, the name, email address and mobile number the manager enters for them (each optional), and whether the manager confirmed the person agreed to get a text from us.
- Payments: managers pay for each season through Stripe, our payment provider. Your card number goes straight to Stripe; we never see or store it. We keep the card brand and last four digits (to show which card will be charged), Stripe's references to your customer record and card, and a record of each payment.
- Messages to us: anything you send when you contact us.
Information collected automatically
- Notification details: if you allow notifications in the app, a push token for your phone, its platform (iPhone or Android) and its time zone, so game reminders show local times.
- Technical and security information: like most online services, our servers and hosting provider record IP addresses, request times, and error and performance information. We use it to keep the Service running, prevent abuse (for example, limiting how quickly invite codes can be tried) and fix problems.
- On your phone: the app keeps your sign-in securely on your device and stores the coming week's games so they work without a signal. This stays on your phone until you sign out or delete the app.
What we don't collect
We don't use advertising or analytics tools, advertising identifiers, or tracking cookies. We don't collect your precise location, contacts, browsing history, or health or financial information beyond what's described above.
Phone permissions
- Camera: to take player photos and scan invite QR codes, only when you choose to.
- Photos: to choose a picture to upload, only when you choose to. The app sees only the pictures you pick.
- Notifications: for game reminders and team messages. You can turn each off in the app or in your phone's settings.
How we use it
- To provide the Service: show your teams, build lineups, keep score, calculate stats, share photos and deliver messages.
- To send what you'd expect from a team app: game reminders and team messages as notifications, password reset emails, and invitations.
- To take payments for team seasons and keep records of them.
- To keep the Service secure, prevent abuse and fraud, and fix problems.
- To answer you when you contact us.
- To meet legal obligations.
We don't use your information for advertising, and we don't sell it or use it to build profiles about you.
Photos
Every photo uploaded to Dugout Crew, whether a player's roster photo or one from a game, is redrawn on our servers, which removes location, camera and date information. Photos are only shown to members of the team, through links that expire. Family members can remove their player's tag from a game photo, after which nobody can tag that player in it again. Whoever posted a photo, and the team's managers, can delete it.
Who can see your information
Your team
Information about a team (roster, schedule, attendance, lineups, stats, photos and messages) is visible to that team's members, whom the team's managers invite. Managers also see members' email addresses and any mobile numbers, so they can contact them. Nothing about a team is public.
Service providers
We share information only with companies that help us run the Service, only as needed, and under agreements that limit how they use it:
- Microsoft Azure: hosts our servers, database and photo storage, and sends our emails and text messages.
- Stripe: processes payments. Stripe's use of your information is described in Stripe's privacy policy.
- Expo: relays notifications to Apple's and Google's notification services, and delivers app updates.
- Apple and Google: deliver notifications to your phone through their notification services.
Other situations
- Legal reasons: if required by law, or to protect the rights, safety or property of our users, the public or us.
- Business changes: if Dugout Crew is sold or merged, information may transfer to the new owner, who must keep honoring this policy or tell you before changing it.
We do not sell personal information or share it for cross-context behavioral advertising.
Text messages (SMS)
Team managers can ask Dugout Crew to text an invitation to someone joining their team. We send it only after the manager confirms that person agreed to get a text about joining the team. Each invitation is usually one text, and a manager can resend it at most a few times.
- Message and data rates may apply.
- Reply STOP to opt out, and you won't get more texts from Dugout Crew. Reply HELP for help, or contact us at [contact email: set Site:ContactEmail] .
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the providers that deliver the texts for us.
- We don't send marketing texts.
Managers can also text invitations from their own phones using the website. Those come from the manager, not from Dugout Crew.
Children
Dugout Crew accounts are for adults: parents, guardians, coaches and other team volunteers. Children should not create accounts, and we do not knowingly collect personal information directly from children under 13. Information about young players is entered by adults on their team, and is visible only to that team's members.
A parent or guardian can review, correct or remove their child's information: ask the team's manager, who can edit or remove players and photos, or contact us at [contact email: set Site:ContactEmail] . If you believe a child under 13 has given us personal information directly, contact us and we'll delete it.
How long we keep it
- Your account: until you delete it.
- Team information: until a manager deletes the team or removes it (for example a player, game or photo). Archived teams are kept so their stats stay viewable, until a manager deletes them.
- Invitations: they expire after 14 days. A manager can revoke one at any time, which deletes it.
- Payment records: kept as long as needed for accounting, tax and legal purposes, even after an account or team is deleted.
- Server logs and backups: kept for a limited time for security and recovery, then deleted.
Deleting your account
You can delete your account at any time:
- In the app: tap Account and deletion at the bottom of the home screen, enter your password and tap Delete my account.
- On the website: click your email address at the top, choose Account, and delete your account there.
- By email: if you can't sign in, email [contact email: set Site:ContactEmail] from your account's email address, and we'll delete it.
Deleting your account removes your sign-in, your team memberships, family links, notification settings and phones, your saved card (with Stripe), and the game photos you posted. Teams you're the only member of are deleted. If you're the only manager of a team that has other members, make someone else a manager or delete the team first. Team information others share, such as the roster, schedule and stats, stays with the team. Payment records are kept as described above.
Your choices and rights
- Notifications: game reminders and team messages each have their own switch at the bottom of the app's home screen.
- Texts: reply STOP to any text from Dugout Crew.
- Access, correction and deletion: you can see and change most of your information in the Service. To get a copy of your information, or to correct or delete something you can't change yourself, contact us.
Depending on where you live (for example California, other US states, the EU or the UK), you may have rights to know what personal information we hold about you, to get a copy, to correct or delete it, and to object to or limit how we use it. We honor those requests, and you won't be treated differently for making one. Contact us at [contact email: set Site:ContactEmail] . We may need to confirm it's you before acting on a request.
Security
Information travels between your device and our servers encrypted (HTTPS). Passwords are stored as secure hashes, photos are served through expiring links, and access to team information is limited to team members. No service can promise perfect security, but we work to protect your information, and we'll let you know as required by law if a breach affects you.
Where information is stored
Our servers are in the United States. If you use the Service from elsewhere, your information is transferred to and processed in the United States.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change materially affects how we use your information, we'll tell you in the Service or by email before it takes effect.
